Price and Payment
The price of your cake will be as set out in your order confirmation. All our prices exclude VAT. A non-refundable deposit of £200 is required to secure the date for your cake. Orders over £1000 require a 25% non-refundable deposit.
The final balance is due 6 weeks prior to your wedding or event date. Failure to make payment of the final balance by the date set out in the order confirmation may result in your order being cancelled. When payment is late we accept no responsibility should we be unable to purchase the required stock or equipment to make the cake as set out in the order confirmation. Completion of the order on the required date will not be guaranteed in these circumstances. The order will not be processed until payment has been made in full.
Payment should be made by BACS transfer or cash.
Cancellations, Changes to Dates and Alterations
In the event of a cancellation by you, the client, the following charges apply:
Eight weeks prior to the date – booking fee retained.
Eight weeks to four weeks prior to the date – booking fee retained plus 50% of the outstanding balance.
Less than four weeks prior to the date – full amount due.
In the unlikely event that we need to cancel your order any monies paid will be refunded. Papaver Fine Art Cakes reserves the right to cancel the order if events occur which are beyond our control such as fire, floods, storm, non-availability of materials or supplies or any other event outside our control and Papaver Fine Art Cakes shall not be liable for any breach of contract resulting from such an event.
If for any reason you wish to change the date of your wedding the payment due remains the same as a cancellation. Subject to availability of your new date, we will carry forward the monies paid to the new wedding date. Please be aware that we will only do this on one occasion. Any further postponements will be classed as a cancellation. However, if we are fully booked on your new wedding date and unable to provide the wedding cake, it will not be possible to refund your booking fee.
Alterations to your order can be made prior to 8 weeks before the wedding date. Any alterations must be notified in writing. Alterations are not confirmed until a new order confirmation has been issued detailing the changes and the new cost. Any changes made after that time where the new design is cheaper than the original cost will not result in a reduction in the balance due.
Delivery and Setup
It is recommended that all wedding cakes are delivered and setup at your venue by Papaver Fine Art Cakes. We will liaise with the venue in advance to arrange a mutually convenient time for delivery. If we set up the wedding cake we will take a photograph of the cake before leaving and, where possible, obtain a signature from the venue confirming the cake has been received in good condition. We cannot accept any liability for any damage to the cake once we have left the venue
Should the venue need to set up the cake themselves we will explain how the cake is to be displayed and where possible obtain a signature to verify acceptance. Once the cake has been delivered we are unable to accept any liability for any damage sustained to the cake thereafter nor any failure to follow the instructions provided.
The cost of delivery and setup is included in the price quoted. If the venue is changed and of a further distance, additional charges will apply.
It is your responsibility to ensure that the venue supply a suitable table and location for the cake to be displayed. When deciding on the position for your cake at the venue, please take care to avoid direct sunlight, spot lights or candles which may cause damage to the cake. Buttercream cakes are not suitable for positioning in hot marquees. Papaver Fine Art Cakes accepts no liability for cakes that are damaged during display at your wedding.
Fresh Flowers and Non-Edible Materials
Most cake contain some non-edible items such as support dowels, wires in sugar flowers, flower picks, ribbon, florist tape etc. These will be notes on our delivery form, however it is your responsibility to ensure that these are removed from the cake by the caterer/venue. If a cake is to be dressed with fresh flowers it is your responsibility to ensure that the flowers you have chosen are non-toxic and safe to come into contact with food. Fresh flowers are not included in the price of the design. If a cake is to be dressed with fresh flowers these are to be provided by your florist. We will liaise with your florist to ensure that the flowers will be available for Papaver Fine Art Cakes when we arrive at venue on your wedding day to setup the cake. However, it is your responsibility to ensure that these flowers have been ordered from your florist and will be delivered to the venue.
Design
Each cake is handmade and although every effort is made to ensure consistency slight variations can occur in the finished cake. Papaver Fine Art Cakes also reserve the right to use artistic licence and make changes if the quality of the cake in flavour or design might otherwise be compromised.
Allergies and Special Dietary Requirements
Our cakes and dessert table items are made in an environment where nuts, egg, milk, gluten and other allergens are present and used on a daily basis. We provide all products on the understanding that you will make your guests fully aware of this fact.
Papaver Fine Art Cakes accepts no liability for customers suffering allergic reactions from eating our cakes and dessert table items. We would strongly advise that anyone with a severe allergy does not consume any products.
Cakes and dessert table items can only be made gluten-free.
Best Before
Your cake is baked to ensure it is fresh for the date of your wedding or event. Our cakes are made using entirely natural ingredients and contain no additives or preservatives. We cannot guarantee its quality if it is consumed more than 48 hours after the event. Cakes should be stored in a dry place, at room temperature, away from direct sunlight and sources of heat. Cake intended to be consumed after the event should also be wrapped to prevent it from becoming dry. Iced cakes should NOT be refrigerated.
Cake Stands and Accessories
We do not have cake stands to hire, however we can discuss the stand with you and help you to source a cake stand suitable for the size and design of your cake.
Complaints
Complaints are very rare and due to the amount of work put into each individual cake we take them very seriously.
Please notify us on delivery if you are unsatisfied with any aspect of your cake so that we have the opportunity to rectify in time for your wedding or event. We recommend that a family member or event manager is the designated contact for the day to ensure all runs smoothly. All other concerns should be made in writing to sue @ papaverfineartcakes.co.uk within 48 hours of delivery and evidence of the fault included. Complaints made beyond this time cannot be considered for a refund as the condition of the cake may have deteriorated several days later. A refund is only given if the cake is returned in full, or as close to full as possible and are unsuitable for consumption or not as described in the order confirmation. Cakes that have been largely eaten will not be eligible for a refund. No refunds are given due to change of mind that has not been notified in writing as specified under “Cancellations, Changes to Dates and Alterations”. In the unlikely event of late delivery (defined as after the start of the wedding breakfast) the maximum refund will be 10% of the full cost. We ask for patience with factors that may be beyond our control eg traffic conditions, as we cannot be held liable for such delays.
If a replacement cake cannot be provided, a partial or full refund may be given at the discretion of Papaver Fine Art Cakes. In the unlikely event that you wish to complain, this must be made in writing to [email protected] within 48 hours of delivery, complaints beyond this time will not be refunded as the condition of the cake may have deteriorated several days later. If the cake is unsatisfactory, we expect it to be returned in full or as close to full as possible, cakes which have been largely eaten will not be eligible for a refund.
General
We reserve the right to use images of your cake for any form of advertising including web based promotions, brochures, galleries and competitions. It is advisable that you make a copy of all documentation received from Papaver Fine Art Cakes for your own benefit.
